Long Session Trip Tracking is a team setting that allows admins to control whether team members can choose Long Session for their trip tracking style.
The setting is "ON" by default. However, we recommend turning it "OFF" to give you greater visibility into every work stop and ensure any Commute Disallowance works as intended and communicating the change to your team members to avoid any confusion.
Should I turn off Long Session Trip Tracking?
If you want to see the address or named location for each work stop that a driver makes, you should turn the feature off. Many teams like the detailed data for accountability and business analysis.
You should also turn it off if you have set up Commute Disallowance with "First & last" commute type. Otherwise, if a driver uses Long Session, their entire session will be deducted as their commute.
We recommend leaving it on only if the individual stops that drivers make are not important to you and you are not deducting commutes from reimbursable mileage. Doing so can help drivers save time by reducing the number of trips they have to manage in Everlance.
How do I turn on Long Session Trip Tracking?
By default, all teams have Long Session Trip Tracking set to ON.
Here are the steps to turn it off:
- Go to your Team Dashboard, and navigate to Team Settings > Account Preferences
- Scroll down until you see the setting for "Long Session Trip Tracking" about halfway down
- Switch the toggle to "OFF"
- Click "save" in the upper right hand corner of the Long Session Trip Tracking section
The change will immediately be applied to your account and all team members will be able to choose Long Session for their tracking style if they wish.
How does my setting impact the team member experience?
If you turn Long Session Trip Tracking off
If a trip is started and a driver stays in the same location for a short period of time, the app will register a stop and automatically end the current trip. It does not matter whether the driver manually started the tracker in Everlance, or the app started capturing their trip automatically.
-
Drivers will see each stop as a separate trip in Everlance that they may need to classify and add to a report for reimbursement
-
To reduce the number of trips they need to classify, we recommend each driver set up Work Hours. This feature will automatically classify all trips within the specified hours to the specified Team Purpose.
-
While there be a bit more work for drivers, it helps ensure they're paid accurately because the right number of miles will be deducted for their commute.
-
-
Managers will see the details of each trip that is classified as work
Your team will also not see the option to choose an Auto-Track Style in their app's Tracker Settings.
If you keep Long Session Trip Tracking on
Drivers can change their auto-track style from Individual Trips (Default) to Long Session if they wish.
When they do so, the app will only register a stop and automatically end a current trip if they stay in the same location for a longer period of time. If they only make a quick "stop," the tracker will keep going and does not register the location as an actual stop. It does not matter whether the driver manually started the tracker in Everlance, or the app started capturing their trip automatically.
-
Drivers will not see separate trips in Everlance for any short stops, so they may have fewer trips that they need to classify and add to a report for reimbursement
-
Managers will see the details of each trip that is classified as work, including the full route map, but not the address or Favorite Places name of any short stops along the way
