Everlance allows employees to accurately track business mileage without the effort of manually recording trips. Protecting driver data is of the highest concern, so any recording or sharing of data remains in the driver’s control.
Everlance never records location data unless the driver enables location tracking in the application. The employer does not have real-time access to the location or personal trip data and will only gain access when the driver classifies business mileage as Work. Only business mileage will ever be shared with the employer and only when the driver elects to share that data.

Why does Everlance need my location data?
In order to accurately record mileage that is eligible for reimbursement, you’ll need to give the Everlance app permission to track your location when using the app. Enabling location tracking always allows the software to record your work trips automatically, so you don’t have to enter them manually to get reimbursed for work mileage.
What data does Everlance share with my employer?
In the Everlance app or dashboard, if you classify trips for work purposes, they will become visible to your employer’s admin. Any unclassified trips or trips you classify as personal will not be shared with your employer.
When does my employer have access to my location data?
Your employer only has access to location data in trips after you classify them for work purposes. Your employer will never have real-time access to your location data. Your trips must first be classified to work purposes before your data will be visible.
Does Everlance track my location in real-time?
Everlance only tracks your location if you have your tracker turned on (which is used to record work-related miles). If it’s turned off, Everlance does not track your location.
Does Everlance share my current location with my employer?
No, only previously recorded trips that have been classified for work purposes are shared.
Always On
All tracking features are available to use, including Auto-Detection (which records all trips), Start Work Session (which records all trips during a session you designate), and manually adding trips in the app and on the dashboard. Recording trips does not share those trips with your employer. They are only shared if you classify the trip for work purposes.
Only While Using
You can start a Work Session that will capture all trips during the session. You can also manually add trips in the app and on the dashboard.
Never Track
You are able to manually add trips in the app and on the dashboard.
Can I disable Everlance from tracking my location outside work hours?
Yes, you can do this by going to the Home Screen of the app and tapping the toggle so that it is grey (OFF) next to Automatic Drive Detection
You can also use the Work Hours feature to track and classify your trips within your working hours as Work and you can select 'No' for tracking trips for Outside Hours.
In this example, my app will only record and classify my trips between Monday - Friday from 9 am - 6 pm. Any trips outside of these hours will not be recorded.
What happens if I disable location tracking for Everlance?
Your mileage will not be recorded and you will have to input all trips manually.
How do I delete trips and what happens to them?
If you delete trips, they are removed from our servers and are no longer accessible.
Can I reclassify trips so my employer will not have access?
Any trips that are not classified for work purposes are not visible or accessible by your employer. If you reclassify a trip to anything other than for work purposes your employer will no longer have access.
Does Everlance access my credit card transaction data?
No, unless you link your bank account to Everlance. If you elect to link your bank account to Everlance, Everlance will have read-only access to your transactions (Everlance cannot create expenses on your behalf). Similar to trips, your employer will only have access to expenses you classify as work expenses. Unclassified and personal expenses will never be shared with your employer.
Does Everlance access information from other applications?
No.
Does Everlance sell my data?
No.
Can I submit trips for reimbursement outside the Everlance mobile application?
Yes, you can submit mileage and expense reports on the Web Dashboard. The mileage you manually add to the Web Dashboard will show as manually entered rather than tracked via GPS. The Web Dashboard can be accessed at https://dashboard.everlance.com/.
Why does Everlance need a photo of my driver's license and vehicle insurance information?
In order to comply with compliance verification requirements set by your employer for vehicle reimbursement, Everlance asks you to securely upload your documents onto their platform. This helps protect both you and the company in the event of a car accident.
How do I know my data is safe and secure?
Everlance processes this information consistently with applicable laws and our Privacy Policy. We also require our service providers to comply with applicable laws, including General Data Protection Regulation (GDPR) put in place May 25th, 2018.
