Approval
You can say goodbyeđź‘‹Â to reconciling past exports line by line as this feature locks trips into one Report. If employees forget a trip or expense while submitting, they can add it to the next cycle's report or submit it as an individual claim.Â
Using approvals is also a great way to remain compliant based on industry standards and to also ensure there is organization when reimbursing employees which creates a check and balance system.Â
Approval Flow
It’s important to set up an Approval Flow as one of the first steps when getting started with Everlance Business.Â
Initial questions to consider:Â

Who needs to access reports?

Do we need reports to be marked as paid?
Once you ask yourself those questions, you can determine how many steps you need for your approval process. Below are a couple of examples.Â
One-Step Approval Flow e.g.
Employee submits report ➡️ Manager approves report

Two-Step Approval Flow e.g.
Employee submits report ➡️ A manager approves ➡️ 2nd approver (team root admin) approves.Â

Three-Step Approval Flow e.g.
Employee submits report ➡️ manager approves ➡️ 2nd approver (team root admin) approves ➡️ Team accountant marks report as paid.

Reports
Our Team Reports are a part of our Approval Flow and are used to approve reimbursement for trips/expenses for employee members. Employees can submit reports directly from their app to their Admin for approval/reimbursement. Using the Reports feature will help to prevent Team Admins from having to reconcile their expenses.Â
It can also help to prevent padded Reports as previous trips are locked once a Report has been approved. You can also place comments about trips that don’t seem work-related etc. You also have the option of rejecting a report and leave a comment which will allow employees to resubmit.

Sub-teams
Sub-teams can be especially useful when you need to visualize your company’s team structure.Â
You can create sub-teams to divide members by location, department, etc. This allows you to create a direct manager for the sub-team that will be able to manage their own team only.Â
Sub-teams names are included on Export and Report summaries, so this could be useful to help with allocations, Seeing tracking trends across Departments etc. It also allows Managers to oversee their teams and empower them to make decisions based off of the data.Â
