Are you looking for a way to speed up and monitor your team’s onboarding process, ensuring every employee is ready to get reimbursed? Our new Onboarding feature is here to help! As a Manager or Admin, you'll want to ensure a smooth transition for your employees, whether you're just getting started with Everlance Business or bringing a new team member on board. The Onboarding tab, found in the Members table, gives you full visibility into each employee’s progress in getting fully set up.
With the Onboarding feature, you can:
- Quickly bulk assign employees to a program to streamline setup.
- Send bulk invites to employees added via HR integration.
- Check pending invites to see who hasn’t accepted yet and resend invites in bulk as needed.
- View employees who still need to set up direct deposit, ensuring they’re ready for reimbursement (for teams using Everlance Payments).
- View employees who have not downloaded the app for both iOS and Android.
This new tool accelerates onboarding, making it easy to ensure everyone is ready to use Everlance to its fullest.
Follow these simple steps to start using the Onboarding feature:
Step 1: Log in to your Team Dashboard.
Step 2: Click on 'Members' from the left side menu.
Step 3: In the All Members table, you'll see a list of every team member. Members with pending invites appear at the top and need to accept their invites before admins can access their profiles or make changes. To hide these members, use the filter option at the top of the table and uncheck 'Show pending invites.'
Step 4: At the very top of your screen, you’ll see an 'Onboarding' tab. This tab shows the number of team members currently in the onboarding process, based on tasks like sending invitations, assigning programs, downloading the app, or setting up direct deposit (if you’re using Everlance Payments).
Note: Members who were invited and intentionally assigned to 'No program' or given a future program start date will not receive an onboarding status.
Step 5: Once you click on 'Onboarding,' you’ll see a chart on the left side of the screen. This chart provides a breakdown of the number of employees and tasks that need to be completed before your members are fully 'Active' in Everlance.
Step 6: Next to the chart, you'll see a list of tasks divided into Admin tasks (in blue) and Member tasks (in orange). Next to each task, there’s a number showing how many employees still need to complete that task.
Let’s break down each task below:
Needs program
This Admin task shows users who haven’t been assigned a program yet. This may include users who were added manually, added through the HR integration feature, or via API. Admins can click 'View' to see employees who still need a program and can either batch-assign a program by selecting 'Assign Program' or assign programs to individual users from this list.
Note: Manually added members need to accept member invite before assigning program. They will not be included in the count for 'needs program.'
Needs invite
This Admin task shows how many employees still need an invitation sent. It applies only to employees whose accounts were created through the HR integration feature. Admins can click 'View' to see the list or 'Send invites' to send the invitations in bulk or individually.
Note: This filter does not apply to members who were manually added or added via API, as those members automatically receive their invitations.
Needs to accept invite
This task shows the total number of drivers who haven’t accepted their invite, regardless of whether they were added manually or through the HR Integration feature. These drivers have received their welcome email but have not yet downloaded the app to join their team or reset their password if added through HR Integration.
Admins can 'View' the list of drivers who meet this filter and have the option to batch 'Re-send invites' to remind their drivers to accept their invitation.
Needs to download the app
This Driver task shows how many employees still need to download the Everlance app on iOS or Android. Admins can click 'View' to see which employees still need to complete this step. Once an employee downloads the app, they will automatically be removed from this list.
Note: Members who were added manually will not be included in this count until they accept their invite.
Needs direct deposit
If you're using Everlance Payments to reimburse employees, this task shows how many still need to set up their direct deposit. Admins can click 'View' to see which employees need to complete this step.
Note: This filter won’t appear if you’re using other reimbursement methods, such as Checkbook.io or internal systems.
Any user who was added manually and has not accepted their invite yet will not be included in this count.
That's it! You now know how to use the new Onboarding tab to track your employees' progress as they get started with Everlance. Once an employee completes all their tasks, they will be removed from the Onboarding list, but you can still find them in the Members table.

If a user has more than 1 onboarding task pending, will they be included in all filters in the onboarding chart?
Yes. The count of members pending by each onboarding task contains all members that match the filter, regardless of whether this member also matches a different filter.
Will users with 'Onboarding' status also appear in the main Members table?
Yes, users with the Onboarding status will be included in the main Members table, along with the statuses Archived, Active, and On Leave, under the 'Status' column.
Is the Onboarding tab available to managers, or only super admins and account owners?
Yes, the Onboarding tab is available to Managers, Super Admins, and Account Owners. Managers can view onboarding details, but access is limited to their assigned teams and subteams only.
What does the 'Onboarding' status mean?
The "Onboarding" status indicates that a driver is in the process of completing essential setup tasks to fully join the team. This status may reflect any of the following incomplete actions:
- The driver has not accepted their invite.
- The driver has not reset their password or logged in (for drivers added through the HR Integration feature).
- The driver has no program history, meaning they have not yet been assigned to a program (this does not include drivers intentionally assigned to "No program" or those with a future program start date).
- The driver has not downloaded the Everlance app, which is essential for tracking mileage and expenses.

The driver has not set up direct deposit (for teams using Everlance Payments for reimbursements), which is necessary to receive reimbursements directly.
This status helps admins easily identify drivers who may need assistance or reminders to complete these steps.
Why can’t admins assign certain users to a program?
Some users, specifically those added manually, will need to accept their invite before admins can assign them a program. This is to ensure that all manual users are verified and have agreed to the initial setup.
