The onboarding status is a new feature designed to help admins and managers quickly identify team members who may need to complete important setup steps.
You might notice that even long-time employees now have an onboarding status. This doesn’t mean something has changed on their account—it simply highlights gaps in their setup that could impact their participation in programs or reimbursement. It’s up to you to review and decide if action is needed.
Common reasons members appear in onboarding:
- Not Assigned to a Program: Without a program, employees won’t have rates assigned and therefore won’t be reimbursed.

Haven’t Downloaded the Everlance App: Without the app, employees cannot track their data.
Haven’t Set Up Direct Deposit: For teams using Everlance Payments, this is required to receive payments. - Haven’t Accepted Their Account Invite: They are not officially part of the company’s team on Everlance.
Use the onboarding tab as a tool to:
- Review the reason for the onboarding status to determine if action is needed.
- Resolve gaps by assigning programs, resending invites, or following up with team members as necessary.
- Leave as-is if no action is required. For instance, if a manager isn’t assigned to a program because they don’t require reimbursement, or an admin hasn’t downloaded the app because they only use the team dashboard, no action is needed.
Coming soon: Our team is working on designing a "Mark as Onboarded" button for cases where a member is filtered as onboarding, but no action is actually needed—stay tuned for its release!
