Taxes Feature

Do I have to pay taxes on my reimbursements? If you’re looking for tax information regarding your mileage reimbursements, you’re in the right place! If you've not been compliant with your documents or vehicle for a given month, you can go into our “Taxes” feature for a comprehensive view of your quarterly reimbursements amounts subject to taxation (if any!).

To calculate the taxable amount for your mileage reimbursements we:

1) Take a snapshot of your compliance status once a month. This snapshot is taken in your latest submission for a given month. For example, if you submit documents on August 30 and they're approved/rejected on September 1, the compliance status for August will be determined. Your compliance status will remain untouched until you resubmit or your documents expire.

2) Quantify amounts subject to tax each quarter. Payments received in months while non-compliant are potentially taxable. Specific amounts "subject to tax" are determined each quarter by comparing total business mileage to non-compliant payments (see Tax Calculation). Doing this calculation quarterly allows the greatest opportunity to reduce payment amounts that are subject to tax. In many cases, only a small portion of non-compliant payments will be subject to tax for high-mileage drivers, if any at all.

3) Tax reporting

• If you're a driver: your tax totals will be displayed in the Everlance Dashboard! Information about amounts subject to tax is updated on your "Taxes" page in Everlance --as your compliance status updates each month and new mileage reports are approved for payment.
• If you're an administrator: your customer success representative will provide a summary report detailing your team's tax totals each quarter. This report will match the tax information that individual drivers will see in Everlance.
